How a Rug Exporter India Ships Your Order, Step by Step

You approve the design, pay the deposit, and then wait. Weeks go by. Somewhere in India, your rugs are being woven, checked, wrapped and loaded onto a ship, but you can’t see any of it.

That gap is where most buyers feel nervous. The good news is that the journey follows a clear, repeatable path. Once you know the steps, you can ask better questions and spot problems early.

This guide walks through how a professional Carpet Manufacturer in India takes your order from the first email to your warehouse door.

Why So Many Buyers Source Rugs from India

India is one of the biggest names in handmade floor coverings. India accounts for about 40 per cent of the world’s handmade rug exports, according to remarks by the chairman of the Carpet Export Promotion Council (CEPC). Other sources place the share a little lower, around 34–35%, depending on the year measured. Either way, India is a leading supplier.

Most of that output travels far. In CEPC-reported figures from 2019, the US was the largest market at 45 per cent, with the EU and the UK at 20 per cent each. So Indian exporters have a lot of practice shipping across oceans.

CEPC itself is a non-profit body set up by the Ministry of Textiles to promote exports of carpets, rugs and floor coverings. You can use it to verify an exporter later (more on that in our companion article).

Step 1: Order Confirmation and Specifications

Everything starts on paper. A reliable Carpet Manufacturer in India will confirm in writing:

  • Design, size and colours
  • Material (wool, cotton, silk, jute or blends)
  • Construction type (hand-knotted, hand-tufted, flatweave)
  • Quantity and price
  • Payment terms and the agreed delivery term

Check this document carefully. Most shipping disputes trace back to a detail that was assumed rather than written down.

Step 2: Sampling and Approval

For custom work, you will normally see a sample or a strike-off before bulk production begins. This may be a small woven piece or a colour card.

Approve it in writing, and keep a physical copy. The sample becomes your reference point for every later quality check.

Step 3: Production

Now the weaving begins. Hand-made rugs take time because each piece is made by skilled artisans, often in village clusters. India’s weaving traditions are regional. For example, geographical indications already exist for handmade carpets from Kashmir, Mirzapur, Bhadohi and Banaras (Varanasi).

Ask your supplier for progress updates. Photos or short videos at the halfway point are a reasonable request and help you catch colour or size issues while there is still time to fix them.

Step 4: Quality Inspection

Before packing, each rug should be inspected. A good checklist includes:

  • Size and tolerance against the order
  • Colour match with the approved sample
  • Pile height and edge finishing
  • Cleanliness, loose threads and stains
  • Straight shape, with no curling corners

Many buyers also hire a third-party inspector. It is inexpensive compared with the cost of a rejected shipment.

Step 5: Packing and Labelling

Rugs usually travel rolled or folded, wrapped in protective material, then bundled into bales or cartons. Moisture is the main enemy during a sea voyage, so ask how your supplier protects against damp.

Each bundle should carry clear marks: your name, order number, carton number and destination. Matching labels make customs checks and warehouse sorting much faster.

Step 6: Export Documents

Paperwork is as important as the product. A typical shipment includes a commercial invoice, a packing list, a bill of lading (or air waybill), and where needed, a certificate of origin.

The exporter also needs an Importer Exporter Code (IEC). It is a 10-digit business identification number issued by the Directorate General of Foreign Trade (DGFT), and it is mandatory for exporting from India. Customs authorities at the port ask for this code during the export process. Ask your supplier for their IEC number. A legitimate exporter will share it without fuss.

Step 7: Choose the Right Incoterm

Incoterms are standard trade terms that say who pays for what, and who carries the risk at each stage of the journey. They are published by the International Chamber of Commerce, and the current edition, Incoterms 2020, came into force on 1 January 2020.

Here are the ones rug buyers meet most often:

Term What it means in plain words Who handles more?
EXW (Ex Works) You collect the goods from the seller’s premises Buyer handles almost everything
FOB (Free on Board) Seller delivers goods onto the ship at the named port Seller to port, buyer after
CIF (Cost, Insurance and Freight) Seller pays freight and insurance to your destination port Seller handles more
DDP (Delivered Duty Paid) Seller delivers to your door with duties paid Seller handles the most

FOB and CIF are meant for sea and inland waterway transport only, while EXW and DDP can be used for any mode of transport. The ICC also advises reading its official guide for the full detail of each term, so treat this table as a simple overview.

Step 8: Export Customs and Freight

On shipping day, the goods go to the port or airport. The exporter (or their freight forwarder) files the export declaration, customs checks the cargo and paperwork, and the shipment is loaded.

You then receive the bill of lading and a tracking reference. Transit times depend on the route, season and carrier, so ask your forwarder for a current estimate instead of relying on a generic number.

Step 9: Arrival, Import Clearance and Delivery

At your end, the shipment must clear import customs. Duties and taxes depend on your country and on the Incoterm you chose. Your customs broker will handle most of this, so give them the invoice, packing list and bill of lading early.

After clearance, goods move to your warehouse or showroom. Open a few bundles straight away and compare them against the approved sample. If something is wrong, take photos immediately and contact your supplier. Delay makes claims harder.

Simple Tips for a Smoother Shipment

  1. Agree the Incoterm before you pay the deposit, not after.
  2. Ask for a production schedule with dates for sample, weaving, inspection and dispatch.
  3. Insure the cargo, even if the Incoterm does not require it.
  4. Keep copies of every document. You will need them for customs and for any claim.
  5. Talk to your freight forwarder early. They can warn you about port delays and paperwork rules.

Frequently Asked Questions

How long does it take to ship rugs from India?
It depends on production time, order size, the shipping route and season. Ask your Carpet Manufacturer in India for a written schedule, and confirm transit estimates with your forwarder.

Do I need to arrange my own freight forwarder?
It depends on the Incoterm. Under FOB you usually arrange main freight. Under CIF or DDP the seller handles more of it.

What documents should I expect?
At minimum: a commercial invoice, packing list and bill of lading or air waybill. Some countries also need a certificate of origin.

How can I check that an exporter is genuine?
Ask for their IEC number and check whether they are a CEPC member. Request references from other overseas buyers.

Final Thoughts

Shipping rugs from India is not mysterious. It is a series of clear steps, from specification and sampling through inspection, documents and freight. When you understand each stage, you stay in control and can choose a Carpet Manufacturer in India who is open about every one of them.
